Integrations, security and API for IT, HR and procurement teams.

Hours go to the system you already use, and your data stays in Microsoft Azure in the EU.

Proplanum is scheduling and time tracking software for shift-based businesses. Hours and absences go to nine HR and payroll systems used in Poland, with import instructions. Data flows both ways with ADP, and electronic sick notes (e-ZLA) arrive from ZUS, the Polish social insurance institution. Sales and demand data come in automatically from a hotel system, and from tills and POS through an integration built for your systems as part of implementation. Everything is stored in Microsoft Azure in the EU, with regular backups.

We do not replace your HR and payroll system or your sales system. We exchange data with them.

Hours, absences and overtime go to payroll without retyping. fromStart

HR closes the month in Proplanum and exports a file to its own software. Step-by-step import instructions sit next to every export. In the panel, not in an email.

  • Comarch OptimaTime worked, absences, work plan.
  • R2PłatnikAttendance, absences, schedule.
  • enova365Working time records and leave in XML, XLSX or CSV.
  • SymfoniaHours and leave in XML.
  • Gratyfikant GTEvents and leave in CSV.
  • Gratyfikant nexoEvents and leave in CSV.
  • Wapro GangExport with import instructions.
  • SAPExport with import instructions.
  • DATEV LODASExport with import instructions.
  • For Gratyfikant GT and nexo there is also a bridge. It is a small Windows app that HR downloads from the exports screen. It enters data into Gratyfikant through Sfera, so the Sfera licence is on your side. It is a file import with a person involved, not an online sync.
  • Overtime at 50% and 100%, night work, Sundays and public holidays are counted under Polish rules before export.
  • You build your own export codes from the same data, without ordering a service.

Integrations with other payroll systems are part of Enterprise, with the scope agreed before the start.

What to prepare on your side to get the integration running

  1. Access to the HR and payroll system on the HR side.
  2. A Sfera licence, if you use Gratyfikant.
  3. A contact at your till or sales system supplier.
  4. One person on your side who owns the data.

Data comes in and goes out by integration, file, calendar or by hand.

The integrations below are built in. For tills and POS we build an integration for your systems, and data then comes in automatically or by file.

ADP, two-way.

A separate panel with the connection, mappings, the employee list, payroll data and a sync log. Data flows both ways.

ZUS e-ZLA.

Proplanum downloads e-ZLA sick notes from ZUS. It creates an approved absence request by itself and removes the shifts that have no time entries yet. The shift goes to the unassigned pool and the manager is notified. Unclear cases wait in a queue for review.

Tills, POS and sales systems.

Sales and demand data come into Proplanum automatically from your system. We build the integration for your systems as part of implementation. File import and manual entry remain options.

Betasi PremiumHotel hotel system.

Occupancy, arrivals, departures, meals and housekeeping work come in by themselves, with no manual entry.

Calendars.

The employee's schedule as a subscription in Google, Outlook and Apple calendar.

Occupancy from the hotel system reaches planning three times a day.

Hotel, integration running in production.

The path of data to payroll and back

enova365: working time records and leave go to the system as a file with import instructions, with no return path.Comarch Optima: time, absences and the work plan go to the system as a file with import instructions, with no return path.Symfonia: working time and leave go to the system as a file with import instructions, with no return path.R2Płatnik: attendance, absences and the schedule go to the system as a file with import instructions, with no return path.ADP: payroll items from approved hours go to the system, and employees come back.ZUS e-ZLA: nothing goes out, and sick notes come back into the schedule and the records.

Enterprise

API for in-house integrations.

Enterprise includes an API with keys limited to a set scope of permissions.

We do not force one path. Data moves the way it works for you: by integration, by file or by hand.

Demand-based scheduling

Your data is stored in Microsoft Azure in the EU, with regular backups.

What your IT department and data protection officer will ask is answered below, in one place. No assurances, just mechanisms.

Your IT department can ask any question before signing the contract. Book a 30-minute call

Where is the data?
In Microsoft Azure, in a region in the EU. We set the region for your company during implementation, and employees cannot change it. Backups run regularly.
Who has access to it?
Roles and permissions with change history. Data is stored in Microsoft Azure (EU). The full list of data processors is in the data processing agreement (DPA) and the Privacy Policy.
What is encrypted?
Connections between the app, the kiosk, the browser and the server. In the database, integration secrets, two-factor authentication codes and biometric templates. ZUS identifiers are hashed, and links to invoices and attachments are signed.
Is company data separated?
Yes. Each company's data is separated logically. Every operation checks which company the data belongs to, and a test that runs on every code change makes sure none skips this check.
What is in the history?
A time entry with its clock-in channel, a change in the schedule, a request, availability, a task, a swap, time off in lieu of overtime, the licence and integration syncs. Each item with author and time.
What about fingerprints?
We switch on fingerprint support once the kiosk reader is confirmed. Biometric data is then special category data under the GDPR, the employee consents when the fingerprint is registered, and identifiers are deleted when the employee is archived.

The role sets the data scope, so a manager sees their locations and an administrator the whole company. fromStart

In the Enterprise plan you define custom roles when the five roles do not fit your structure, and the security module gives IT a company-wide event log.

We sign a data processing agreement with every customer, and the SLA comes with the Enterprise plan.
